Catering Event Timeline: From Setup to Takedown

2026-10-14 BAVA Team News

Timing is everything in catering. Arrive too early and you waste staff hours. Arrive too late and you are still setting up when guests walk in. This timeline works for a 100-guest wedding or corporate lunch.

T-3 Hours: Arrival and Setup

  • Unload equipment and ingredients
  • Set up tables, chairs, and buffet line
  • Position chafing dishes and serving stations
  • Plug in electric chafing dishes, preheat

T-2 Hours: Food Prep

  • Start heating soups, stews, and sides
  • Prepare cold stations: salads, fruit, desserts
  • Set up beverage dispensers
  • Plate appetizers (if being passed)

T-1 Hour: Final Checks

  • Check all food temperatures
  • Arrange serving utensils next to each dish
  • Place plates, napkins, cutlery
  • Add allergen labels and menu signs
  • Do a full walkthrough: does the line flow well? Is anything missing?

T-30 Minutes: Service Prep

  • Place hot food into chafing dishes
  • Check temperatures again (should be 60°C+)
  • Put out cold food and ice beds
  • Staff in position: one at the carving station, one monitoring the line

T-0: Guests Arrive

  • Buffet opens
  • Staff monitor food levels and temperatures
  • Refill as needed
  • Wipe spills immediately

During Service (2–3 Hours)

  • Check temperature every 30 minutes
  • Restock plates, napkins, cutlery
  • Keep lids on dishes when not in use
  • Watch food waste — pull dishes that are not being eaten

T+3 Hours: Takedown

  • Close buffet line
  • Turn off all heat sources
  • Let equipment cool
  • Pack up all equipment and leftovers
  • Clean tables and remove linens
  • Final walkthrough: leave the space clean

This timeline is a baseline. Adjust based on guest count: 50 guests = 3 hours total, 200 guests = 5 hours total. The key: never rush setup. If you are still setting up when guests arrive, you started too late.
